Executive Director
Organization: Helping Hands Against Violence (HHAV)
Reports To: Board of Directors
Status: Full-time, Flexible
Salary: $80,000 – $90,000 (Dependent on Experience)
Benefits: Monthly wellness package, healthcare stipend, and cellphone stipend.
Position Objective
The Executive Director provides strategic, fiscal, and operational leadership for HHAV. Working in close partnership with the Board of Directors, the Executive Director ensures the organization remains financially sustainable, high-performing, and deeply survivor-centered.
Key Responsibilities
Strategic Administration & Leadership

Operational Oversight: Manage all daily operations, programming, and long-term strategic initiatives.

Goal Alignment: Execute organizational goals and objectives in alignment with Board vision.

Program Guidance: Provide vision, mentorship, and operational support to the Program Manager.

Policy Development: Design and implement program policies, procedures, and safety protocols.

Infrastructure Management: Partner with the Program Manager to maintain technology, security, and office infrastructure.

Records Compliance: Maintain secure centralized office files, personnel data, and policy manuals.
Fiscal Stewardship

Financial Management: Oversee all financial records, budgeting, and revenue tracking.

Accounting Collaboration: Partner with the bookkeeper on accounts payable, reconciliations, and QuickBooks management.

Payroll & Taxes: Manage bi-monthly payroll and ensure timely submission of monthly, quarterly, and annual taxes.

Grant Stewardship: Act as the primary fiscal agent for all agency contracts, ensuring strict compliance.

Financial Reporting: Prepare comprehensive monthly and annual financial reports for the Board and grantors.

Board Collaboration: Work closely with the Board Treasurer to maintain high-standard fiscal oversight.
Grant Management

Grant Writing: Research, write, and secure grant funding aligned with the strategic plan.

Compliance & Tracking: Monitor grant expenditures and submit precise compliance reports.

Agency Representative: Serve as the primary point of contact for DOJ, DHS, and other major funders.

Leadership Meetings: Attend all mandatory funder meetings and regional leadership sessions.
Donor Relations & Fundraising

Campaign Execution: Design and launch annual donor appeals via print and digital channels.

Fundraising Events: Develop and execute the annual community fundraiser in partnership with the Board.

Donor Cultivation: Build meaningful relationships with major donors and manage the bequest program.

Database & Stewardship: Maintain the donor database, ensuring timely acknowledgement of all cash and in-kind gifts.
Human Resources & Staff Management

Team Leadership: Oversee recruitment, onboarding, supervision, and annual evaluations for all staff.

Shelter Capacity: Collaborate with the Program Manager to ensure the shelter is optimally staffed and resourced.

Professional Development: Track and facilitate mandatory grant-related trainings for staff, volunteers, and Board members.
Board Governance

Board Liaison: Act as the primary bridge between staff and the Board of Directors.

Meeting Support: Attend Board meetings, prepare executive reports, and support Board committees.

Strategic Planning: Lead the development, implementation, and tracking of the organizational strategic plan.
Community Outreach & Advocacy

Public Relations: Serve as the primary spokesperson for the media, public, and community partners.

Sector Collaboration: Work closely with the Oregon Coalition Against Domestic & Sexual Violence (OCADSV).

Digital Presence: Oversee website and social media strategies alongside the Community Outreach Coordinator.
Facilities & Direct Service

Safety & Maintenance: Ensure all HHAV facilities, vehicles, and grounds are secure, safe, and well-maintained.

Crisis Support: Provide backup direct service to clients and crisis line coverage as operationally required.
Required Qualifications

Experience: Minimum of 3–5 years of progressive leadership or management experience, ideally within a non-profit or social services setting.

Sector Knowledge: Deep understanding of domestic violence, sexual assault, trauma-informed care, and survivor-centered practices.

Financial Acumen: Proven experience managing budgets, oversight of payroll/taxes, and familiarity with accounting software (e.g., QuickBooks).

Grant Proficiency: Demonstrated success in research, grant writing, compliance tracking, and managing state/federal funds (e.g., DOJ, DHS).

Fundraising Skills: Experience in donor cultivation, organizing community fundraisers, and managing donor management databases.

Communication: Exceptional written, verbal, and interpersonal communication skills for media relations, public speaking, and board collaboration.
